Online Proposal Submission Outline

This outline describes the information required to successfully complete and submit a conference proposal through CHA's online system.

As you prepare to submit a proposal, use these guidelines to ensure you have gathered all the necessary information to submit.

Authors may stop and start editing proposals or save and return later at any time prior to the submission deadline. Submissions must be completely blinded. Consider seeking input from your organization's communications team for editing before submitting.

The Conference Steering Committee reviews all submissions and quickly filters out poorly written and vague submissions.

1. Create a new user account

The information provided should be a true and accurate description of the lead presenter.

2. Presenter agreements

  • Confirm your information is correct and accurate.
  • Review the Presenter Agreements.
  • You will be asked to accept the presenter agreements in order to submit your proposal.

3. Proposal information

Information provided in this section must be blinded (no mention of hospital, presenters, city or any other descriptors that may provide reviewers with an idea of who or which children’s hospital submitted the proposal). Proposal information will be used to describe your presentation and what attendees will learn and will be included in conference marketing materials and website.

Session format (select one)

  • Power session (Two or more hospitals present within a 60 minute time frame. This format is designed to foster dynamic storytelling and collaboration among presenters, offering attendees a wealth of insights and diverse perspectives. Pairings need not be predetermined.)
  • Standard lecture (presentation approx. 30 minutes, with 15 minutes of Q&A.)
  • Poster presentation (displayed during reception(s) and approx. 3–5-minute poster lightning talks.)
  • Roundtable discussion (presentation approx. 15 minutes, with 30 minutes of audience interaction or discussion.)

Proposed session title (limit 65 characters)

Submit a proposal title to be used on the conference website to market your session.

Proposed session description (limit 300 characters)

Submit a brief description for your proposed session. This description will be used on the conference website to market your session.

Session objectives (select up to 3 that apply)

Session objectives should describe what participants will be able to do as a result of attending the session.

“At the end of this session, learners will be able to…”:

  • Define this issue.
  • Describe potential solutions to solve this problem.
  • Apply these principles to programs within their institution.
  • Categorize different solutions to resolve this problem at their institution.
  • Evaluate which solutions would be more appropriate for solving this problem at their institution.
  • Establish a connection with those that are experiencing similar situations for future problem solving.

Project outline or framework (limit 100 words)

Describe how you advanced work solutions in the conference focus area selected. Provide a brief contextual background of the situation, a description of the project and details on how you advanced project aims.

Transferable and replicable (limit 75 words)

Please explain why you consider this initiative relevant and transferable to peer children’s hospitals.

Results, outcomes, and sustainability (limit 100 words)

Please describe the results and sustainability efforts for your project. In your response, include the following:

  4. You may refer to the definitions below to help categorize your project stage:
  • Pilot phase.  Plan in place, program implementation, but no notable change in improvement.
  • Implemented. Sustainable change in a single area with a few months of improvement data.
  • Implemented and adjusting. Sustainable change across multiple areas with a few months of improvement data.
  • Standardized. Broad, sustainable implementation across the organization with several months of improvement data.

When you land on the “Review Information” page, on the right side of the title of your proposal, select the second icon to add a co-presenter. You will follow the same process to add your co-presenter as you did for yourself:

4. Co-presenter(s) information

Identify any co-presenters. The call for proposals online application allows for two presenters per proposal. The recommended number of presenters for a standard concurrent session and poster presentation is two. Presenter adjustments may be made after the call for proposals review process.

If your additional presenter is not a direct employee of the children's hospital, please indicate their organization accurately. You can add a non-member to the system using the "new registration" button in the search options.
